From client data to a draft deed, without retyping

The challenge

Drafting a company deed means moving the same data again and again: the parties' identities, business classification codes, capital, shares and management, into documents whose wording must be exact. Every retype is a chance for error, especially in amounts and how they are written out in words.

What we did

We built AktaCorp, the notary office's own web application, which handles the process from data entry to a document ready for signing:

• Deeds assembled automatically from the notary's master drafts for PT, foreign-owned PT and CV formations, in Word and PDF, with amounts written out in words automatically
• Signatures and identity documents collected from a phone, with OTP access and guidance until everything is complete
• Three languages, Indonesian, English and Chinese, to serve foreign clients
• A tracked workflow: every order has a status, a history and a verification record
• Master drafts managed by the notary office itself, with no programmer needed

The result

Data is entered once and used for every document. Deed wording always follows the notary's masters, and every step leaves an accountable trail.
